For most practice management systems, the cleanest setup is Arca terminals alongside your PMS — the device authorizes the payment, you post it in the PMS billing module, and end-of-day deposits reconcile to the same number. Open Dental and several cloud PMSes (Dentrix Ascend, Curve, CareStack) support deeper payment-gateway integration; tell us what you’re running and we’ll spec the right setup during onboarding.
? How do in-house membership plans work?
Arca’s Online suite includes recurring billing. We set up your plan (typical: $30–$50/month for two cleanings, exams, X-rays, and a discount on other services), enroll patients with a saved card, and handle automatic retry on failed cards with dunning emails. Members get a card; you get monthly recurring revenue without a separate subscription processor.
? Can patients pay a balance after insurance pays out?
Yes — three common flows. (1) Save the card on file at the visit and charge the residual once the EOB lands. (2) Text the patient a payment link for the exact amount. (3) Email an Arca-branded invoice with a pay-now link. All three settle into the same Arca account as your chairside payments.
